| GUESTS |
 |
A Guest is an individual who is sponsored by a duly accredited member of the Club in good standing and to whom a Guest Card is issued. A Guest Card entitles the holder to the use of the facilities of the Club. Guest Cards are non-transferable and must be presented at the time of availment of any of the facilities and services of the Club. |
All guests availing of the facilities of the Club shall be assessed Guest Fee based on the prevailing assessment set by management. |
The Guest Card must be surrendered prior to checkout. Guest should register at the Front Desk before he/she is allowed to use the facilities of the Club. Guests are not permitted to introduce another guest or visitor. |
Tampered Guest Card shall not be honored. Lost Guest Card should be reported immediately to the Front Desk for replacement to avoid misrepresentation. |
The Club has the sole discretion and right to allow or reject entry of sponsored guests to the Club or reject guests who can not present any letter of authorization from a sponsoring member. |
Guests whose sponsoring member has an overdue account cannot be accommodated to avail of the facilities of the Club. |

| VISITORS |

A Visitor is an individual who is not a member and who is accompanied by a duly accredited member of the Club in good standing. A Visitor shall not be subject to the assessment of Guest Fee nor is he/she allowed signing privileges at the Club. However, as long as a Visitor is accompanied by a member, he/she is entitled to use the facilities of the Club. Members must register their Visitors at the Front Desk. The member accompanying a Visitor is responsible for the Visitor’s conduct and activity at the Club.

Members must orient their sponsored guests and visitors about the policies, rules and regulations of the Club. The member sponsoring a guest or accompanying a visitor is responsible for the guest’s activity, actuation and behavior at the Club and for the payment of the guest’s account, regardless of billing arrangement. If such account is not promptly paid, it shall be added to the account of the sponsoring member.

The Club reserves the right to eject guests or visitors who violated Club policies and house rules at any given time and bar them from entering Club premises. This does not preclude the Club from filing the necessary charges against the guest or visitor.
|
The privileges granted under provisions for guests may be suspended or revoked at any time by the management and/or by the Board of Directors of the Club. |
A dependent of a member can not introduce guests or bring visitors to the Club unless a written request from the parent-member to that effect is submitted and approved by management.

An applicant who has been rejected for membership in the Baguio Country Club, or a member, who has been suspended or expelled from the Baguio Country Club, may not be introduced as a guest nor brought into the Club as visitor. Management may bar or eject guests or visitors with objectionable behavior from entry to Club premise. Likewise, former employees of the Club who were dismissed for cause cannot be introduced as guest or visitor. A member sponsoring a dismissed or resigned employee of the Club must seek prior approval from management before he/she can sponsor such employee.

LETTER OF INTRODUCTION |
A Guest must present a letter of introduction from his/her sponsoring member upon entering the gate of the Club and upon registration at the desk. The letter must be duly signed by the sponsoring member with the following information and condition:
|
1. Complete name of the guest/s.
2. Duration of stay or use of the facilities.
3. Billing arrangement.
4. The total number of guests being introduced.
5. The date when the introductory letter was issued.
6. Photocopied or faxed letters are not acceptable.
7. The letter must be “AUTHENTIC”, “ORIGINAL” and bears “FRESH” signature of the sponsoring member.
8. Introductory letters are only good for one time usage. A guest who wants to extend the use of the facilities is required to get a new introductory letter.

| DEPOSIT |

Regardless of whether the guests intend to pay in cash or credit card, he or she must pay a deposit based on existing policies established by the Club.

“NO CARD, NO SERVICE” POLICY |

|
The privileges and facilities of the Club are restricted to members, their dependents, and their authorized Guests or Visitors, and it is incumbent upon the management and personnel to serve them, but members, their dependents and guests are requested to present their respective membership, dependent or guest card upon request and upon availment of any of the facilities or services of the Club, as it is possible that not all members, their dependents and guests are known to the personnel of the Club. Members, dependents and guests are requested to print their names prior to signing of chits. The Club enforces a “NO CARD, NO SERVICE” policy. The Club reserves the right to refuse service or eject a member, dependent or guest that cannot or refuse to present his/her card. Payments in any form are strictly not allowed in any of the Club’s outlets except at the Front Desk Cashier. Users of any of the facilities shall be required to sign Guest Checks or to use scrips for the cost of their availment of facilities. All signed Guest Checks are billed and posted to the account ledger of the user. Only the Front Desk Cashiers are authorized to accept cash/cheques in payment of Guest Checks or Statement of Accounts.

| Check-in & Occupancy |

1. Standard check-in time is 2:00 PM. Members or guests who arrive earlier than the check-in time may be assigned a waiting room if their rooms are not yet available.
2. All members and guests who are booked at the Club should register at the Front Desk upon arrival. All occupants of the room must be registered for security and tracing purposes in case of emergency.
3. Sponsored guests and dependents that bring guests/visitors are required to present an original letter of introduction/authorization from the sponsoring/parent member upon registration. Photocopied or faxed letters of introduction shall not be honored. The Club reserves the right to deny accommodation to guests or dependents that have no letters of introduction or authorization.
4. Sponsored guests that are on cash account basis shall be required to make a deposit or have their credit cards verified upon registration.
5. The Club is not responsible for the loss or damage of personal property or valuables under any circumstances. Personal safety deposit boxes are available at the cottages and guestrooms, access to it is placed under the guest’s sole control. Individual safety deposit boxes are also available at the Front Desk. Users of safety deposit boxes shall assume the responsibility of seeing to it that the safety deposit boxes are locked at all times and its contents are withdrawn prior to leaving the cottage and/or room during check-out. The Club shall not be liable for any loss of money, jewelry or other valuables claimed to have been left in the personal safety deposit boxes or left in any public areas of the Club.
6. Members, dependents and occupants shall hold free and harmless the Club, its directors, officers and employees from any and all damages, injuries and liabilities that may arise in connection with but not limited to, the use of Club facilities, the cottages and rooms, damages/losses sustained by vehicle/s parked within Club premises, damages/injuries/losses sustained sue to act/s or negligence of members, dependents and guests, and all other acts brought about by circumstances beyond the control of the Club. They shall also indemnify the Club for any and all losses, damages and expenses incurred by the Club in the exercise of its rights pursuant to Club rules and regulations.
7. Members and their guests shall assume responsibility for any damage to Club property caused by him/her or his/her dependents, guests and companions. Any damage discovered in the rooms before and after check-out shall be charged to the member’s account at replacement cost and corresponding handling fee after a thorough investigation has been made.
8. The Club maintains the “no joiner” policy in its guestrooms and cottages. Members or dependents who allow joiners or unregistered occupant may be subject to suspension. A guest who brings in a joiner or unregistered occupant may be automatically ejected from the Club premise. The sponsoring member shall be held responsible for any such action and will be given a stern warning by management. |

| Door Key Card |
 |
1. All guestrooms and cottages are equipped with electronic locking and lighting system. A key card is issued at the Front Desk upon registration.
2. The key card is programmed to be valid only until 12:00 noon of confirmed check-out date and is subject to re-programming in case of confirmed extended stay. Occupants are required to surrender their key card to the Front Desk for re-programming, otherwise, they may be subject to inconveniences of being locked out.
3. Extra key card is issued upon request to registered occupant/s of a room only.
4. Lost or damaged key card should be reported immediately to the Front Desk for replacement and re-programming. Replacement cost for a lost or damaged key card shall be billed to the occupant.
5. The holder of a key card must secure the issued key card under his/her care. The Club shall not be responsible for incidents arising from any unauthorized entries into rooms.
6. All key cards should be surrendered upon check-out.

| Check-out and Extension of Stay |

1. Standard check-out time is 12:00 noon. Prior arrangements must be made for late check-out. Extension of check-out time shall be assessed “late check-out” charges.
2. Express check-out may be arranged with the Front Desk.
3. Safekeeping of luggage at the Bell Service can be made with prior arrangements at the Front Desk.
4. Sponsored guests shall be required to surrender their guest cards at the Front Desk upon check-out. Cash-paying guests must settle all bills prior to departure from the Club, otherwise, their bills will be charged to their sponsoring member’s account.
5. The room occupant/s shall be required to sign a waiver upon registration and acknowledges that his/her reservation and/or allowed stay is for the period stated in his/her confirmation slip or registration form. Any extension shall be subject to the availability of rooms and upon approval of management. Occupants therefore unconditionally agree and consent to vacate the room/s assigned to them and their registered companions at the end of the said reservation of authorized extensions on or before the standard check-out time of 12:00 noon.
The Club management is authorized to exercise any and all options available to it including the break-open of door/s, removal and inventory of all personal belongings in case of overstaying and/or violation of any Club rules and regulations as well as physical withdrawal from the Club premises if necessary. In such breaking open, inventory and removal of all personal belongings of the occupant/s as well as physical withdrawal from the Club premise, the Barangay Chairman shall be requested to act as witness to protect the Club from any claim of losses and/or impropriety. Written notice addressed to the occupant/s and deposited under the door of the room/s assigned to them shall be sufficient notification of the actions of its rights pursuant to any/all Club rules and regulations |
